Calendar Connections and Scheduling
Licensed insurance professionals who work with Total Lifetime can connect a Google or Microsoft calendar to our scheduling system so clients can book appointments with them. Other calendar types are not currently supported. These connections run through our scheduling provider, Nylas.
What we access: the professional chooses to connect and approves a permission screen from Google or Microsoft. Those providers offer calendar access only as a single read-and-write permission, so the screen will say we can view and edit calendars. We request calendar access only: no email, contacts, or documents. We use that permission only to (a) see the list of calendars and when the professional is busy or free, and (b) create, change, cancel, and look up the appointment events our scheduling system created. We do not read or store the titles or details of other events on the calendar, and we do not change or delete events we did not create.
What we put on the calendar: appointment events carry a generic title (for example, "Client appointment" and the type of appointment), a short fixed description with a booking reference number, and a location label (such as phone, video, or an office address; for a visit at a client's home, only a note to open the details in our portal). We do not put client names, health, plan, medication or Medicare details, or client home addresses in calendar events.
What we store: for each connection, the calendar account's email address, the provider, the permission granted, the connection date and status. For each appointment, its booking and calendar-event IDs, start and end times, appointment type, location type, and status. Contact details a client enters when booking are handled as described in Sections 2 and 3. Booking records are kept only as long as needed to run and audit scheduling and to meet the retention rules in Section 7. Nylas holds the connection credentials needed to relay our requests.
How we share it: we do not sell calendar data. Nylas, our scheduling technology provider, handles it on our behalf to run the calendar connection. We use Google user data only to provide the scheduling features described here. We do not use it for advertising, and we do not allow people to read it except as needed for security, to comply with law, or with the user's consent.
Disconnecting and deleting: a professional can end the connection at any time in their own account: for Google, in the Google Account's settings for third-party apps and services with account access; for Microsoft, in the Microsoft account's page for apps and services that have been given access (for a work or school account, through the organization's account page or administrator). Events already created stay on the calendar. You can also ask us to disconnect the calendar and delete the connection record by emailing info@totallifetime.care; we will remove the connection from our scheduling provider, and for Microsoft calendars we recommend also removing access in your Microsoft account so the permission is fully withdrawn. Deletion of booking records is subject to the legal retention rules in Section 7.
Google API Services User Data Policy: Total Lifetime's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
